Order Desk Administrator

Job Title:                    Order Desk Administrator

Reporting to:             Supply Chain Manager

Direct Reports:         None

 

Purpose of Role:

 The position is accountable for daily order review and sales order processing for both domestic and international customers.  Individuals in this position must strive for continuous improvement in all areas of responsibility. Complete agreed personal commitments within the supply chain team as per the sales plan.

Key Responsibilities:

 

Sales Order Management

  •          The validation and processing of sales orders consistent with company policies (some order entry will be required
  •          Create and maintain customer information in the ERP system and other systems
  •          Execute daily activities relating to compliance guidelines
  •          Research requests related to product availability, lead times, shipping status and expedites
  •          Negotiate order issues, corrections, and resolutions for customers and/or internal departments
  •          Provide support to the Supply Chain Manager sales planning process

 

Backlog Management

  •          Facilitate and negotiate order changes and cancellations ensuring the ERP system is updated promptly and accurately
  •          Provide timely reporting to management on the status of open orders and shipping expectations

 

Customer Communication (Internal/External)

  •         Answer incoming and make outbound calls to/from both internal and external customers
  •          Manage email communication for both internal and external customers
  •          Work effectively with other departments (operations, planning, despatch, finance)

 

Facilitation & Issue Resolution

  •          Identify, anticipate, and analyse problems to apply appropriate and timely resolutions
  •          Provide feedback to management and other departments on preventative measures to actual or potential issues

 

Quality & Customer Service

  •          Demonstrate the highest level of detail, accuracy and performance
  •          Demonstrate the consistent ability and willingness to think critically and negotiate resolution
  •          Exercise independent judgement and follow-through on work assigned
  •          Develop and maintain positive working relationships with internal and external customers.

 

Key Responsibilities:

 

  •          Must have customer service/order management/administrative experience
  •          Strong computer skills (MS Office) and aptitude
  •          Database utilization and MRP/ ERP experience is important
  •          Self-starter with a sense of urgency to complete work
  •          Ability to organize, prioritise and stay on task
  •          Perform well within a deadline-driven and results-orientated environment
  •          Ability to work within a team with demonstrated ability to negotiate win-win resolutions to issues
  •          Have a basic understanding of financial, operational and shipping practices in a high-volume manufacturing environment, international business practices a plus
  •          Excellent verbal and written communication skills
  •          Excellent customer service skills & experience including demonstrated conflict resolution abilities
  •          Ability to excel in a fast paced environment with a diverse workload with multiple priorities
